An intelligent, efficient approach to digitizing your documents
Scanning 100 percent of your documents may not provide the most cost-effective solution for your particular situation. Iron Mountain imaging solutions provide intelligent scanning, based on access requirements. Frequently accessed documents or important elements – such as the customized coverage page of an otherwise standard insurance policy – are scanned. Rarely accessed documents are not scanned until they are actually requested; documents are then quickly delivered through our Image On Demand service.
A well-designed, selective scanning program can yield dramatic reductions in conversion costs, while still meeting document access requirements.
Desktop capabilities that streamline imaging Capabilities for desktop document capture allow you to consistently and efficiently capture and image documents from widely distributed locations and quickly make them available for retrieval.
Documents are indexed by those who know them best - your knowledge workers - during their standard workflow. Indexing information is entered via a web interface, and a pre-printed barcode sticker is affixed to each document, giving it a unique, electronically recognizable identity.
At a convenient time, documents are converted to digital images with a scanner, a network-connected photocopier, or a fax machine and sent to an Iron Mountain server. Images and index records are then matched with software and made available to your end users for simple search and retrieval. The document capture process stays under your control, with documents kept in-house while being processed.
